Refund and cancellation policy

This policy applies to paid clinic seats, intensives, and private chart reviews booked with Cortex Helix Field Academy Limited. It does not cover products we do not sell.

Eligibility

Refunds depend on how far in advance you cancel, whether the session has started, and whether printed materials were prepared specifically for you.

Timeframes

• Full refund: written cancellation at least 7 full days before the scheduled session start.
• Partial refund (50%): cancellation between 6 days and 48 hours before start, if no custom oversized prints were ordered.
• No refund: cancellation inside 48 hours, no-shows, or sessions already underway.

Deposits

Seat deposits are credited toward the clinic fee. Deposits become non-refundable inside the 48-hour window but may be transferred once to a later published clinic date if seats remain.

Rescheduling

You may reschedule once without fee if you notify us at least 72 hours before start and a later date has open seats. Further changes may incur an administrative fee of HK$300.

Work already started / materials

If facilitators have prepared custom chart packs for your seat, the material cost (stated on your confirmation) is non-refundable even when the tuition portion qualifies for a partial refund.

Private reviews

Private Chart Review appointments follow the same timeframes. If the session has begun — including remote video — fees are non-refundable.

Process and method

Email info@sense-archwayway.click with your booking reference and preferred refund method (original payment channel where possible). Approved refunds are processed within 14 business days. Bank or card processing times may add several days.
